The question is usually asked as "human or AI", but for a shop with two trucks it is really "human, AI, or the voicemail". This page does the arithmetic on the first two and is honest about the third, which is what most small trades are running today.

At about 3 minutes a call, Ruby's 200-minute plan is roughly 65 calls for $720, or about $11 a call. Smith.ai's Starter is $10 a call by definition. Botspire's Starter is roughly 100 calls for $59, or about 60 cents a call. Overage tells the same story: a busy month costs Smith.ai customers $11.50 for each extra call and Botspire customers about 45 cents.

When is a person worth $5 a minute?

Often enough that this section is not a formality. A human receptionist is better than any AI receptionist, ours included, at:

  • Distressed callers. Somebody standing in a flooded kitchen at midnight may want a person. Our answerer gives the shutoff instruction and puts them through to your on-call plumber, but the voice that first answers is not human.
  • Complicated intake. A caller with three problems, a landlord, a tenant and an insurance claim is a conversation. Software takes the message and flags it; a person can untangle it on the call.
  • Payments and compliance. Ruby lists card payment collection and HIPAA-compliant handling on every plan. We do not take payments over the phone.
  • The unexpected. A request the trade template has never seen gets a message and a flag from us. A person improvises.
  • Reassurance for the owner. Some owners simply trust a person more, and that is a legitimate reason to pay for one.

When is the AI the better buy?

  • Volume. Past a handful of calls a day, human minutes cost more than the calls are worth. At 300 minutes a month you would pay Ruby about $1,100 on the nearest plan and Botspire $59.
  • Nights and weekends. Both answer 24/7. Only one of them costs the same at 2am as at 2pm.
  • Booking into your calendar. Ruby lists scheduling; our answerer reads what is actually free in Google Calendar or Cal.com and offers two or three real slots, then the appointment lands in the calendar your technicians look at.
  • Emergency triage by trade. An HVAC answerer that knows a gas smell from a no-cooling call, and a plumbing answerer that knows a burst pipe from a dripping tap, because each trade ships with its own rules. A general answering service follows the script you give it, and most shops never write one.
  • Consistency. It says the same thing at call 400 as at call 1, and you can hear exactly what it says before you go live.

What about the third option, doing nothing?

In September 2026 we rang 20 HVAC companies during their own evening hours. Five reached a person, seven went to voicemail, and none of the seven messages we left were returned. The realistic comparison for most small trades is not a human service against an AI one. It is either of them against the voicemail, and the voicemail is losing jobs at a rate no plan on this page comes close to.

What is the honest recommendation?

  1. If your callers are mostly distressed, elderly, or paying by card on the call, price a human service and consider it earned.
  2. If your callers mostly want a time, a price, or to report a problem, an AI receptionist answers them for a fraction of the cost and books the ones a person would have written on a pad.
  3. Whichever you pick, make sure it can put a genuine emergency through to a person live. On Botspire that is on every plan.

How much does a human answering service cost per minute?

How much does an AI receptionist cost per minute?

About $0.20 a minute on Botspire Starter used to its cap, and $0.15 / min past it. Other AI services range from about $0.15 to $0.48 a minute at their entry plans.

Can an AI receptionist transfer a call to a real person?

Is a human answering service better for emergencies?
